Office of the Town Clerk

The Town Clerk is responsible for facilitating the conduct of business by the Town Council, and fulfilling legal requirements as set forth in the Town Code and State law. The Clerk participates in regular Town Council meetings by recording official actions and legislation of the Council, documenting the proceedings of meetings and retaining other legal and historical records.

The Town Clerk is the local Elections Official who administers democratic processes such as elections, access to town records, and serves as the Legislative Official of the Town, ensuring transparency to the public. The Town Clerk is the Town Compliance Officer for federal, state, and local statutes including the Political Reform Act, the Brown Act, and the Public Records Act.

Commissions and Committees

The Town Clerk also recruits for and provides support to members of the Town Committees.  Committees are comprised of volunteers who advise the Town Council on different subject matters. If you are interested in serving on a Committee, please submit an application.

Public Records

The Town Clerk is the Official Custodian of all Town records and is responsible for records management for the Town, managing the maintenance and disposition of Town records and information. To submit a Public Records Request please fill out this form.  The Clerk is responsible for updating the Town's Municipal Code.

Solicitation Permits

Solicitors are required to obtain a permit to solicit door-to-door in Portola Valley. The Town Clerk manages solicitation permits. Please apply or view the solicitation policy on the solicitation page
